Data controller
The controller of personal data is the Association of Game and Fantasy Lovers “Thorn”, KRS 0000428487, NIP 8792668337, REGON 341309650 — the organiser of the Przekładaniec Fantastic Film Festival.

What data we process and why
We only process data needed to operate the website, handle correspondence and organise the festival.
- Correspondence: your email address, name or organisation and other information you voluntarily include in a message — to reply and continue the correspondence (Article 6(1)(f) GDPR, or Article 6(1)(b) GDPR where the message concerns steps towards a contract).
- Website security: IP address, request date and time, device and browser information, and technical events recorded in logs — to operate the website, prevent abuse and diagnose errors (Article 6(1)(f) GDPR).
- Cookie settings: the selected consent level — to remember your decision (Article 6(1)(f) GDPR for essential cookies and Article 6(1)(a) GDPR for optional cookies).
- PostHog analytics: visited pages, clicks, device and browser details, and approximate location — to measure and improve use of the website, only after consent (Article 6(1)(a) GDPR).
Film submissions and external services
Film submissions are accepted through FilmFreeway. Once you proceed to that platform, your data is processed under its privacy terms. External services linked from this website, including social media, similarly apply their own data processing and cookie policies.
We do not transfer data to those services merely by displaying the Przekładaniec website. Data is transferred after you select an external link and use the relevant service.
Cookies
The website stores the essential przekladaniec_cookie_consent cookie, which remembers your cookie preference for 180 days. You can change your choice at any time using the “Cookie settings” button.
After you consent, we enable PostHog to automatically measure page views, clicks and other interactions. PostHog may store optional cookies or browser storage data; choosing “Necessary only” disables PostHog data collection. You can also delete or block cookies in your browser settings; blocking essential cookies may prevent the website from remembering your settings.
Data recipients and transfers outside the EEA
Data may be shared with authorised festival personnel and providers of hosting, email, analytics (PostHog) and technical maintenance services — only to the extent needed to provide those services. We may also disclose data where required by law.
We do not intend to transfer data outside the European Economic Area when operating this website. If a technical provider processes data outside the EEA, the transfer is based on a mechanism permitted by the GDPR, in particular an adequacy decision or standard contractual clauses.
How long we retain data
- We retain correspondence for as long as needed to resolve the matter, and afterwards until any applicable claims are time-barred or for a period required by law.
- We retain technical logs for the period needed for security, diagnostics and accountability, no longer than required by the legitimate purpose or a legal obligation.
- We retain the cookie preference for 180 days, unless you change the setting or delete the cookie earlier.
- We retain PostHog analytics data for the period configured in the service, no longer than needed to analyse use of the website; withdrawing consent stops further collection.
Your rights
Depending on the legal basis for processing, you have the right to access, rectify or erase your data, restrict processing, data portability, object to processing and withdraw consent at any time. Withdrawing consent does not affect the lawfulness of earlier processing.
You also have the right to lodge a complaint with the President of the Polish Personal Data Protection Office. Providing data in correspondence is voluntary, but we may be unable to reply without contact details. We do not make automated decisions about users or profile them.
